Conference organizer

Interactie is already for years a well-known PCO and Destination Management Coordinator (DMC) and can offer you her vast knowledge of the city and a wide network of contacts. Professional Conference Organizer (PCO)

Specializing in conference management, you could think of us as a consultant to or project manager for your event organizers and/or your committees. We tap into our extensive knowledge and experience to help you make considered decisions and then execute the collaborative plan. While some travel agents, public relations firms and other companies do offer destination support, it is important to note that professional conference management is not their core business and their services are often partial. What is destination management coordination?

We generally specialize in creating original group excursions, social and/or partner programmes and pre- and post-conference gatherings. Other DMC services we might include are catering, themed dinners, entertainment, hostess/guide hire and hotel and transportation support. We are experts in the many unique opportunities the city and its surroundings. The keyword when it comes to destination management at Interactie is ‘customized’- we evaluate your requests and then devise a tailor-made plan to suit the tone and budget of your event, assuming the preparation and planning responsibilities.

Pre-Financing and Guarantee Fund

Initiating and organizing an international conference is like starting up a new enterprise, whilst knowing that its life span is limited. Such an enterprise usually requires starting capital to pay the initial costs. Insurance to cover possible risks due to unexpected reduced attendance may also be needed.

The Pre-financing and Guarantee Fund (VGF) was set up by the Netherlands Board of Tourism & Conventions (NBTC) and the Dutch Convention Industry Association VNC, in cooperation with the Ministry of Economic Affairs, to meet these needs. Amsterdam Tourism & Convention Board supports this initiative.

The Pre-financing and Guarantee Fund offers two facilities:
- Interest-free loan to finance the initial costs of an international conference;
- Insurance (at non-commercial rate) against possible financial risks due to unexpected reduced attendance.

The two facilities the VGF offers, the pre-financing and the guarantee, may be used both separately and in combination.

Associations that are planning to organize an international convention in Holland can apply to NBTC for an interest-free loan or for a guarantee. NBTC is their intermediary for requests for pre-financing or guarantees under the Pre-Financing and Guarantee Fund.

Whether a request will actually be granted, depends on the soundness of the budget submitted, on the history of the convention, etc. The minimum period for requesting pre-financing and/or a guarantee is twelve months prior to the convention. The VGF is a unique instrument in the international world of conventions, make the most of it.
